Conference venues are available in a variety of different configurations and sizes. The size of your delegation will determine the size of the venue you require. Conference venues can be used for meetings, seminars, product launches, breakfast presentations, training workshops, executive planning sessions or, indeed, conferences. There are also different layouts, like tables in rows, or in a U-shape, block-shape or theatre-style, depending on your preference.
A theatre-style seating layout is best for a large number of delegates, of if you are pressed for space at a given venue. The largest number of delegates can be fitted in this way. The block-shape is far less efficient and there is quite a lot of wasted space. You lose even more space to the U-shape, but it does impart a greater sense of spaciousness.
A competent establishment may help you with the design of your event. The tables, the accessories, the catering and the drinks may all be personalised to suit your needs. There is often a conference coordinator available to assist you with your event throughout its duration, whether it lasts for a morning or an entire week.
A complete conference package may be available, starting with tea, coffee and snacks in the morning. The lunch may be a full buffet or perhaps just a cocktail platter and in the afternoon, there might be tea and coffee again. The eats may be specified and a competent caterer will allow for different dietary needs of delegates, like Kosher and vegetarian.
Enquire about the facilities that you would require. Many a conference venue will supply a projector, projection screen, whiteboard, podium, overhead projector, flipchart, TV monitor, in addition to standard features that normally include independent air conditioning and variable lighting control. Additional items may sometimes be available upon request, such as photocopying facilities or perhaps a fax service.
